REQUIREMENTS : The successful applicant must have a Grade 12 Certificate and no experience is required. They should have knowledge of registry duties, practices, as well as the ability to capture data and operate a computer. They should also have a working knowledge of the legislative framework governing the Public Service, as well as storage and retrieval procedures. Finally, they should be able to work within a team and be flexible.
DUTIES : The Registry Counter Clerk is responsible for providing customer service, handling enquiries, receiving and registering hand-delivered mail and files, handling incoming and outgoing correspondence, receiving, sorting, registering and dispatching all mail, and distributing notices on registry issues. The Clerk is also responsible for providing effective filing and record management services. This includes opening and closing files according to a record classification system, filling/storing documents and files.
Operate office machines in accordance with the registry function. Open and maintain a franking machine register, frank post, record money and update the register on a daily basis. Undertake spot checks on post to ensure that no private post is included. Lock post in a postbag for messengers to deliver to the Post Office. Open and maintain a remittance register and record all valuable articles as prescribed in the remittance register.
The archivist is responsible for sorting and organizing documents for archival purposes, as well as preparing and submitting lists of documents to be archived. They are also responsible for scanning files electronically, and distributing archived documents.
